Government census reporting integration

Purpose

1.1. Automate the extraction, formatting, and secure digital submission of required census data from animal shelter management systems to relevant local, state, and federal government census/data collection agencies.
1.2. Ensure shelters remain compliant with evolving government reporting mandates, minimize manual errors, standardize data output, meet deadlines, and facilitate audit readiness.
1.3. Consolidate distributed records (adoption, intake, medical care, euthanasia) into unified census reports, handling differing schema, timeframes, and jurisdictional requirements.
1.4. Enable real-time monitoring and receipt validation for every government submission channel, storing official acknowledgments for regulatory preparedness.

Trigger Conditions

2.1. Scheduled—monthly, quarterly, or annual reporting cycle milestones per agency guidelines.
2.2. Manual initiation—staff-activated reporting for on-demand census audits or compliance checks.
2.3. Data threshold—activation on reaching specific animal intake or outtake counts.
2.4. External request—API-based pull event from a government endpoint.

Platform Variants

3.1. Salesforce
• Feature/Setting: Salesforce Flow—create an automated flow that extracts animal and census data fields, formats as CSV/XLSX, and sends to a secure SFTP endpoint.
3.2. Microsoft Power Automate
• Feature/Setting: Scheduled cloud flow—connect shelter database to predefined Excel template, attach, and push to governmental web service (HTTP action).
3.3. Zapier
• Feature/Setting: Scheduled Zap—pull shelter metrics from Google Sheets, convert to JSON, POST to agency API.
3.4. Google Apps Script
• Feature/Setting: Time-driven trigger—aggregate and script export of records from Google Sheets to a government-upload portal (fetch/send via UrlFetchApp).
3.5. AWS Lambda
• Feature/Setting: Scheduled Lambda—reads census-ready records from DynamoDB, transforms data, uploads securely via HTTPS or SFTP.
3.6. Make (Integromat)
• Feature/Setting: Scheduled scenario—use HTTP module to push structured data to government API with error handling.
3.7. Workato
• Feature/Setting: Recipe—extract from animal shelter CRM, format for government schema, send via SFTP or direct HTTP.
