Automated reminders for missing documents

Purpose

1.1. Ensure timely submission and receipt of required adoption documents by all parties (applicants, caseworkers, third-party verifiers).
1.2. Reduce manual follow-up for missing paperwork, increasing process efficiency and compliance.
1.3. Provide automated, auditable reminders to reduce legal risk and improve client experience.
1.4. Track document collection status for each case to ensure all regulatory documents are kept up-to-date.

Trigger Conditions

2.1. A required document status is set as “pending” or “not received” in the case management system.
2.2. A submission deadline is approaching or passed based on agency policy (e.g., 3 days before due).
2.3. System detects a new case file created without the full document set.
2.4. Manual “Remind” button activity by assigned caseworker.
