Automated document expiration and renewal alerts

Purpose

1.1. Automate expiration monitoring for all organization-held client and staff documents, such as certifications, legal forms, consent, and compliance records, to avoid operational or compliance risks.
1.2. Automates reminders and renewal alerting workflows to responsible parties before, on, and after document expiry for uninterrupted regulatory compliance and uninterrupted service delivery.
1.3. Automatedly logs all alerts and responses, creating an audit trail for regulatory review.
1.4. Automate attachment of renewed documents to correct profiles and flag overdue documents for escalation.

Trigger Conditions

2.1. Scheduled trigger based on stored expiry date fields in document metadata within database, cloud storage, DMS, or CRM.
2.2. Manual user update inputting a new expiry or renewal date, triggering future automation flows.
2.3. API/webhook trigger when a new or updated document is uploaded or detected.
