Notification workflows for partnership renewals

Purpose

1.1. Automate notifications for partnership renewals to ensure no lapses in agreements, enable timely discussion of terms, maintain compliance, and support uninterrupted collaboration between the apprenticeship center and external employers/partners.
1.2. Centralize communication, track renewal dates, alert stakeholders, escalate overdue renewals, and provide analytics on renewal responsiveness.

Trigger Conditions

2.1. Approaching renewal date (e.g., 30/14/7 days before expiry).
2.2. No renewal confirmation received by a set checkpoint.
2.3. Agreement status flagged as “pending,” “expiring,” or “overdue.”
2.4. Manual update or trigger by admin/staff.
2.5. API webhook from CRM/contract management system.
2.6. Calendar event or recurring schedule with date logic.

3.1. Microsoft Outlook
• Feature/Setting: Use “Calendar Event Reminder” and “Send Email” API; configure to email employer/partner when renewal date is within threshold (Graph API, /me/events/reminderView).

3.2. Google Workspace (Gmail & Calendar)
• Feature/Setting: Calendar event trigger using Apps Script; send automated Gmail via “MailApp.sendEmail()” upon reaching renewal threshold.
