Resource and room allocation notifications

Purpose

1.1. Automate real-time notifications for room and resource allocation within Masonic centers, eliminating manual communication delays.
1.2. Ensure all stakeholders—members, staff, and event organizers—are instantly notified when rooms or resources (e.g., AV equipment, catering) are reserved, released, or reassigned.
1.3. Provides automated audit trail of allocations, enforces transparent booking, prevents double-booking, and automates escalation for unresolved conflicts.
1.4. Supports recurring events, last-minute changes, and automated reminders to improve attendance and resource utilization.

Trigger Conditions

2.1. New event scheduled or updated in calendar system.
2.2. Room or resource reservation created, modified, or canceled.
2.3. Resource/room conflict detected or resolved.
2.4. Event cancellation, rescheduling, or change in expected attendance.
2.5. Upcoming event reminder threshold reached (e.g., 1 day or 1 hour prior).
