Scheduled follow-up on backordered/out-of-stock items

Purpose

1.1. Ensure customers are automatically updated regarding the status and ETA of backordered or out-of-stock air filter items.
1.2. Reduce manual workload on fulfillment teams by programmatically initiating follow-ups based on inventory and order status.
1.3. Maintain customer satisfaction by communicating delays transparently and offering alternative product options or updated timelines.
1.4. Optimize reordering by automating notifications to suppliers or procurement if items remain backordered after a set interval.
1.5. Create a reliable audit trail of all follow-up communications within the order management workflow.

Trigger Conditions

2.1. Inventory status update to “Backordered” or “Out-of-Stock” for any order line item in the system.
2.2. Scheduled interval (daily, every 48 hours, or custom business rule) passes without item status change.
2.3. Customer order remains open or unresolved past a configurable SLA period.
2.4. Supplier ETA update or change detected in the procurement module.
