Digital document management for orders and shipping

Purpose

1. Enable fully digital document management for orders and shipping in amusement ride wholesale, streamlining capture, storage, sharing, validation, and traceability for contracts, POs, invoices, export docs, and shipping manifests.

2. Integrate diverse business apps to automate receipt/processing of orders, digital approvals, real-time generation and PDF conversion of shipping docs, auto-transfer between departments and with third-party shippers, and ensure regulatory document accessibility.

3. Remove manual paperwork, reduce errors, and create persistent digital audit trails tying every order to its full chain of documents across order processing through shipping.


Trigger Conditions

1. New order received via email, e-commerce, or EDI.

2. Approval given for contract or order.

3. Invoice created or updated in ERP.

4. Shipment scheduled or carrier API event fired.

5. Document uploaded/scanned to file storage or emailed to a dedicated inbox.

6. Document status change (approval/rejection; fulfillment milestone met).
