Follow-up emails after program completion

Purpose

1. Encourage parental engagement, collect program feedback, and promote upcoming programs by automatically sending follow-up emails to parents after child’s after-school program completion.

2. Improve retention and satisfaction with timely communication, reinforce learning outcomes, and offer certificates or next steps.

3. Reduce manual effort for staff while ensuring consistent messaging and increased response rates to surveys or re-enrollment offers.


Trigger Conditions

1. A child’s participation status in the after-school program is marked as “completed” in the Student Information System (SIS) or CRM.

2. A specific end-date/time in the program schedule is reached for each enrolled participant.

3. Staff member marks program status as “complete” in workflow tracker or attendance app.

4. Parental contact information is present and consent for communications is verified.
